WhatsApp is convenient for quick communication, but it is not an operating system for a growing field team. Orders, visit updates and customer requests become mixed with conversations. Office staff must interpret messages and re-enter data, while managers struggle to build a consistent view of execution.

In one Amiga Cloud rollout, a distributor with 27 representatives moved from this manual coordination model to a structured workflow connected with Odoo. The company kept its existing ERP and changed the way field activity was captured and synchronized.

Begin with the process, not the whole team

The rollout first mapped the information exchanged between the field and Odoo: customers, products and prices going to the representatives, then orders and field activity returning to the back office. Defining that ownership prevented the mobile application from becoming another isolated database.

Use a small pilot

Two representatives started the pilot. A small group made it possible to observe real visits, check the mobile steps and refine data mapping without interrupting all 27 users. The initial integration was completed in about one week, followed by pilot validation before wider rollout.

Replace messages with structured records

Instead of sending an order as text or an image, representatives selected the customer and products in the mobile application. Visits, orders and other activities gained consistent fields, timestamps and synchronization status. The back office received data in a form that could be processed rather than interpreted.

Expand with support and review

After the pilot proved the workflow, the company could train the remaining team around a standard process. Supervisors gained a clearer view of visits and activity, while direct technical support helped resolve integration and user questions during adoption.

Lessons for another distributor

  • Keep the existing ERP as the system of record.
  • Pilot with users who represent normal field conditions.
  • Test weak-connectivity scenarios before full rollout.
  • Agree on exceptions and support ownership.
  • Expand only after mobile and back-office records match.

The important change was not simply replacing one messaging application. It was turning unstructured communication into reliable transactions that could move between the field and the company system. That creates a foundation for faster processing, clearer follow-up and more consistent management.
